What an ATS actually does
An applicant tracking system is a database, not a judge. It parses your file into structured fields, name, contact details, employment history, education, skills, and stores them so recruiters can search and filter. The widespread belief that a robot scores and rejects you is mostly wrong: in the overwhelming majority of systems a human still reviews candidates. The real risk is not rejection by algorithm but poor parsing, where your experience lands in the wrong field or is dropped entirely, so you never appear in the search that would have found you.
What breaks parsing
Tables and multi-column layouts are the biggest cause, because parsers read in document order and a two-column CV interleaves the columns into nonsense. Text inside headers and footers is frequently skipped. Text inside images or graphics is invisible without OCR. Unusual section headings such as "Where I Have Been" instead of "Experience" prevent the parser recognising the section. Non-standard date formats break employment history extraction.
Format
A text-based PDF is safe in modern systems and preserves layout. DOCX is the most universally parseable. A PDF exported as an image, common when someone scans a printed CV, contains no text at all and parses to nothing. If in doubt, open your PDF and try to select the text: if you cannot, neither can the parser.
Keywords are matching, not stuffing
Recruiters search for terms from the job description. If the posting says "stakeholder management" and your CV says "working with clients", you do not appear in that search even though you have the experience. Mirror the posting's actual vocabulary where it honestly describes what you did. Include both the abbreviation and the expansion, since a search for either should find you. Invisible white text and keyword lists are detectable, are treated as manipulation, and damage your standing when found.
What to check before applying
Convert your CV to plain text and read the result. If the sections are in the right order, the dates are intact and nothing is missing, it will parse. That two-minute test catches nearly every problem a checker would report.
