Work out how many guests you can host
An event’s guest count is constrained by budget and venue, and balancing them is the first planning decision. This tool estimates the maximum guest count from your budget per guest and venue capacity, so you plan within your real limits.
Why two limits bound the count
The number of guests you can host is capped by two things: how many the venue physically holds, and how many your budget covers at the per-guest cost. The binding constraint is whichever is smaller, and it is easy to plan against one while forgetting the other, inviting more than the budget allows, or budgeting for more than the venue fits. Working out the maximum from both limits gives a realistic guest count to plan around, which prevents the awkward and expensive problem of a guest list that does not match the budget or the room.
A planning estimate
This is an estimate for planning from the figures you enter, not financial or business advice. Real outcomes depend on factors beyond any single calculation, so treat the result as a guide. It runs entirely in your browser, so your figures are never uploaded and stay on your own machine, which matters for business numbers you would not want to share.

Frequently Asked Questions
What limits the guest count?
Two things: the venue’s capacity and how many guests the budget covers at the per-guest cost. The smaller of the two is the real limit.
Why consider both limits?
Because planning against one while forgetting the other leads to over-inviting for the budget or over-budgeting for the venue, both awkward and costly.
How is the maximum found?
By taking the lower of the venue capacity and the budget divided by the per-guest cost, giving a guest count that fits both constraints.
What is per-guest cost?
The total cost of hosting one guest, catering, seating and so on, which multiplied by the guest count must stay within the budget.
Is my data uploaded?
No. The calculation runs entirely in your browser.
