A quotation is a fixed price the client can accept; an estimate is an approximation that may change; an invoice is a request for payment after the work. Sending an invoice-shaped document before agreement confuses accounts departments and sometimes creates a tax point early. This tool labels its output a quotation and sets a validity date, defaulting to 14 days, which is the detail that makes a price expire rather than lingering as an open offer.

How the totals are calculated

Each line is quantity times unit price. Tax is applied to the subtotal at the percentage entered, and the discount is then subtracted from the taxed total. That ordering suits a goodwill discount on the final figure. If you need a trade discount applied before tax, reduce the line prices instead, because VAT and sales-tax rules in most jurisdictions tax the net amount after a pre-agreed discount.

What belongs in the notes field

Payment terms, deposit required, delivery timeline, what is excluded, and how revisions are charged. A quote that says two rounds of revisions included, further rounds at the hourly rate prevents the most common dispute in service work. Currency is displayed as dollars; state the actual currency in the notes if it differs.

Numbering and records

Use a sequence you can find later, such as Q-2026-014, and keep the accepted quote alongside the invoice it becomes. The generator does not store anything, so save the PDF before closing the tab.

How do I save the quotation as a PDF?

Generate the preview, then use the browser's print function and choose Save as PDF as the destination. Set margins to default and disable headers and footers for a clean page.

Is a quotation legally binding?

Once the client accepts it, in most jurisdictions it forms a contract on those terms. That is why the validity date matters: after it passes, you are free to re-price. An estimate carries no such commitment.

Can I add my logo or change the currency symbol?

Not in this version. The preview is plain HTML sized for printing; a letterhead can be added by pasting the printed PDF into your own template. Currency shows as a dollar sign, so name the currency in the notes.

Why is the discount applied after tax?

It models a discount off the final bill. If your tax authority requires the discount to reduce the taxable amount, lower the line prices instead so the tax is calculated on the net figure.

Does anything I type get saved or sent?

No. Company, client and line-item data stay in the page. Reloading clears them, so print or save before leaving.
