Undefined acronyms are the fastest way to lose a reader

Technical documents accumulate acronyms because everyone writing them already knows what the letters mean. The reader who does not has to stop, guess or search, and each occurrence costs a little more attention. The convention that solves it is simple: spell the term out on first use with the acronym in parentheses, then use the acronym freely afterwards. The difficulty is not knowing the rule, it is noticing which acronyms in a long document were never introduced.

The same letters mean different things

Ambiguity is the second problem. In one document CDN might be a content delivery network and in another a chemical name. SLA is a service level agreement in operations and a second language acquisition term in linguistics. IP is intellectual property to a lawyer and internet protocol to an engineer. A document written for a mixed audience needs the expansion even for acronyms that seem universal within one discipline.

What counts as an acronym

Detection looks for runs of capital letters, which catches initialisms and acronyms alike and also picks up product names, file formats and anything else written in capitals. That is deliberate: a reader unfamiliar with the domain has the same problem with an unexplained product name as with an unexplained initialism, and reviewing a slightly over inclusive list is faster than missing entries.

Frequently Asked Questions

What is the convention for defining an acronym?

Spell the term out on first use with the acronym in parentheses immediately after, then use the acronym alone thereafter. In a long document, repeating the definition at the start of each major section helps readers who arrive part way through.

Do I need to define common acronyms?

It depends on the audience rather than on how common the acronym feels. HTTP needs no expansion in an engineering document and does in one for a general audience. The letters that seem universal within a discipline are frequently opaque outside it.

What is the difference between an acronym and an initialism?

An acronym is pronounced as a word, such as NASA or laser. An initialism is spelled out letter by letter, such as HTTP or FBI. The distinction affects whether you write "a" or "an" before it, and nothing else about how it should be defined.

Why are product names flagged?

Because detection looks for runs of capital letters, and a reader unfamiliar with the domain has the same problem with an unexplained product name as with an unexplained initialism. The list is slightly over inclusive by design, since reviewing an extra entry is faster than missing one.

How many acronyms is too many?

There is no threshold, but a paragraph containing more than two or three undefined ones is usually unreadable to anyone outside the team. A glossary helps and does not substitute for defining on first use, because readers do not leave the page to consult one.
